Accounting and Finance Director

Position Status: Exempt, Full Time

Reports to: Administrative Pastor

Position Schedule: M-F, typical office hours

Position Summary: In close concert with leadership, the Accounting Supervisor is responsible for overseeing the financial policies and direction for the church including budgeting, accounting, financial reporting, financial administration, and financial planning. This position works closely with the accounting staff and other departments to provide the overall financial infrastructure in support of ACAC’s vision.

Overall Responsibilities

  • Recommend improvement to general accounting activities to ensure compliance with governmental and organizational policies (i.e. ACAC Finance Manual), to increase efficiency, and to provide proper internal controls.
  • Be familiar with all accounting staff job responsibilities.
  • Train and supervise accounting staff.

Weekly Responsibilities

  • Prioritize accounting staff responsibilities and answer questions as needed.
  • Prepare General Fund income update.
  • Review discrepancies between bank deposit and contributions entry.
  • Review daily bank positive pay exceptions.
  • Review check requests as needed.

Monthly Responsibilities

  • Prepare journal entries & perform account reconciliations, as needed.
  • Review financial statements & explain budget to actual variances.
  • Inform staff of budget overages.
  • Prepare revenue & expense projections & review with Treasurer, as needed.
  • Prepare preliminary financial report for Treasurer within 5 days of month end.
  • Prepare graphs for Board of Elders and financial reports for Finance Committee & Board of Operations.
  • Prepare financial statement notes quarterly.
  • Review Deacon/Benevolent Fund financial reports.
  • Open bank statements and review cancelled checks.
  • Review bank reconciliations and other general ledger account reconciliations.
  • Transfer cash for Health Reimbursement Account.

Annual Responsibilities 

  • Facilitate annual budget compilation, reporting & entry.
  • Prepare budget reports for Finance Committee and Board of Operations.
  • Prepare CMA Annual Report and financial reports & graphs for ACAC Annual Report.
  • Prepare non-cash donation receipts, stock and mutual fund receipts & assist with cash giving statements.
  • File Escheat Tax Return.
  • Ensure proper reporting of unusual items on 1099s and W-2s. Review 1099s.
  • Assist ADP with ACA form 1095 reporting.
  • Facilitate Agreed-Upon Procedures engagement with outside Accounting Firm.

Other Duties

  • Keep current with industry publications.
  • Be familiar with general insurance – Property, Liability, Worker’s Comp.
  • Assist staff with grant reporting & compliance.
  • Assist with short-term missions trip policies & reporting.
  • Communicate ACAC policies to staff & volunteers.
  • Facilitate stock and mutual fund donations & answer donor questions, as needed.
  • Monitor certificate of deposit maturity dates and investigate rates as directed by financial officers.
  • Monitor cash balance and transfer money as directed by financial officers.
  • Coordinate time off and help provide coverage for other financial staff as needed.
  • Assist Administrative Pastors and Treasurer with projects as needed.

Assistant Pastor in Student Ministries - Ministry & Worship

Position Status: Full Time

Supervisor:  Student Ministries Pastor

Position Schedule: It is expected that this position will have evening hours - ministry programming, any schedule worship team gatherings/practice and/or student events and activities. There will be a regular weekly flow of hours and schedule balancing ministry rhythms and a balanced home/non-work life. We often need to engage challenging students.

Position Summary: This position is responsible for oversight and leadership of some aspects of our Student Ministry (SM) department, which ministers to middle school and high school students. Additionally, this position will be responsible for organizing and leading worship on a regular basis for this population. This position is critical for the development of Christ centered environments and student training and equipping in ministry. Diversity is a core value and should be evident. Since we work closely in team, engagement and inclusion in overall ministry development is expected.

Responsibilities

Ministry

  • Develop and execute ministry programs with excellence and that they are in line with the church ministry vision, values and threads-Worship, Grow, Serve, Share
    • Personal, one on one
    • Small Group
  • Assist in developing curriculum choices for all programs elements: Mid-week programming, Sunday Morning and Growth Groups
  • Develop methods and strategies to care for and disciple students
  • Provide Spiritual nurture to students through Biblical instruction, guidance and positive role modeling
  • Provide counseling and spiritual direction to students on an individual basis
  • Develop appropriate outreach opportunities for the students
  • Develop events and activities for Students
  • Assist in recruiting adult leaders to ensure quality ministry, student discipleship and effective use of resources.
    • Engage, equip and empower adult leaders to work with students and own ministry
    • Assist with appreciation and care for adult leaders
  • Continue to grow spiritually, personally, and in ministry according to personal development
  • Share ownership of the ministry with staff: appropriate delegation of tasks, inclusion in vision of ministry, inclusion in event ideas and planning, and communication about student/leader issues

Worship

  • Lead SM worship experiences
  • Develop student and adult teams to lead worship
    • Teach and train as necessary
    • Schedule and communicate regularly
  • Develop opportunities for SM to connect with ACAC worship - (children's and/or adult)
  • Develop a regular presence in the sanctuary with students (2-3 times annually)
  • Oversee the A/V systems and equipment
  • Track our worship to report as necessary

Administrative

  • Develop understand of ministry budget: knowledge to be a steward of God give resources to for Kingdom purposes. Process of receipts and payments: retreats, events, programs, etc
  • Consistent knowledge and tracking of student attendance
  • Coordinate with worship team when appropriate to ensure consistency of message

Staff

  • Attend ACAC ministry team meeting and participate in monthly staff devotions
  • Attend SM weekly meetings - planning, student/leader care,
  • Connect monthly for accountability and development
  • Utilize and maintain cross departmental relationships

Service Attendant (Part time)

Position Status: Part Time / Non-Exempt / Hourly

Supervisor:  Cynthia Miller

Position Schedule: Available to work the weekly desk schedule; days and hours vary, but not exceed 28 hrs/wk

Position Summary: Greet people as they enter the facilities, address questions that are directed to you via phone calls or walk-ins.

Responsibilities

  • Proactively obtain necessary information to respond to requests or perform other duties
  • Knowledge of the ACAC ministries and community partners
  • Working knowledge of ACAC programs and ability to retrieve needed information
  • Follow set procedures as outlined in the service attendant’s binder
  • Respond accordingly to emergency needs
  • Working knowledge of copier, postage and fax machines
  • Oversee ACAC and Union Place lobbies. Maintain a level of appropriate atmosphere and security
  • Communicate information to the proper people
  • Check and respond to emails throughout your shift
  • Assist ministries with projects and needs as assigned
  • Maintain a clean and organized work space

Custodian

Position Status: Non-exempt, Hourly, Part-time

Reports to: Facilities Manager

Position Schedule: 10-15 hours/week. 2 nights from 7-11PM and Sunday from 2-6PM.

Position Summary: Facilitate the highest standard of cleaning within all of ACAC. Ensure the rooms are ready for ministry events.

Responsibilities

  • Clean ACAC campus according to the daily scheduled cleaning sheets.
  • Keep cleaning sheet with you on your shift, sign off on areas you have cleaned, and turn in at end of shift.
  • Responsible for room set ups, clean-up and tear downs following meetings and events.
  • Maintain and keep in working order all equipment needed to perform your duties and materials in a clean and orderly manner.
  • Knowledge of proper cleaning techniques, safe operation of equipment and machinery, and safety when using chemical and agents.
  • Responsible for laundry (rags, mops heads, etc.) as needed.
  • Report any repairs or maintenance needs on the daily sheets or to the Support Coordinator in a timely basis.
  • Perform any minor repairs that are seen according to your ability.
  • Respond to any emergency needs of the church: custodial, maintenance, medical, security, etc.
  • Security: Assist with keeping the campus safe.
  • Assist with snow removal.
