 Accounting and Finance Director

Position Status: Exempt, Full Time

Reports to: Administrative Pastor

Position Schedule: M-F, typical office hours

Position Summary: In close concert with leadership, the Accounting Supervisor is responsible for overseeing the financial policies and direction for the church including budgeting, accounting, financial reporting, financial administration, and financial planning. This position works closely with the accounting staff and other departments to provide the overall financial infrastructure in support of ACAC’s vision.

Overall Responsibilities

  • Recommend improvement to general accounting activities to ensure compliance with governmental and organizational policies (i.e. ACAC Finance Manual), to increase efficiency, and to provide proper internal controls.
  • Be familiar with all accounting staff job responsibilities.
  • Train and supervise accounting staff.

Weekly Responsibilities

  • Prioritize accounting staff responsibilities and answer questions as needed.
  • Prepare General Fund income update.
  • Review discrepancies between bank deposit and contributions entry.
  • Review daily bank positive pay exceptions.
  • Review check requests as needed.

Monthly Responsibilities

  • Prepare journal entries & perform account reconciliations, as needed.
  • Review financial statements & explain budget to actual variances.
  • Inform staff of budget overages.
  • Prepare revenue & expense projections & review with Treasurer, as needed.
  • Prepare preliminary financial report for Treasurer within 5 days of month end.
  • Prepare graphs for Board of Elders and financial reports for Finance Committee & Board of Operations.
  • Prepare financial statement notes quarterly.
  • Review Deacon/Benevolent Fund financial reports.
  • Open bank statements and review cancelled checks.
  • Review bank reconciliations and other general ledger account reconciliations.
  • Transfer cash for Health Reimbursement Account.

Annual Responsibilities 

  • Facilitate annual budget compilation, reporting & entry.
  • Prepare budget reports for Finance Committee and Board of Operations.
  • Prepare CMA Annual Report and financial reports & graphs for ACAC Annual Report.
  • Prepare non-cash donation receipts, stock and mutual fund receipts & assist with cash giving statements.
  • File Escheat Tax Return.
  • Ensure proper reporting of unusual items on 1099s and W-2s. Review 1099s.
  • Assist ADP with ACA form 1095 reporting.
  • Facilitate Agreed-Upon Procedures engagement with outside Accounting Firm.

Other Duties

  • Keep current with industry publications.
  • Be familiar with general insurance – Property, Liability, Worker’s Comp.
  • Assist staff with grant reporting & compliance.
  • Assist with short-term missions trip policies & reporting.
  • Communicate ACAC policies to staff & volunteers.
  • Facilitate stock and mutual fund donations & answer donor questions, as needed.
  • Monitor certificate of deposit maturity dates and investigate rates as directed by financial officers.
  • Monitor cash balance and transfer money as directed by financial officers.
  • Coordinate time off and help provide coverage for other financial staff as needed.
  • Assist Administrative Pastors and Treasurer with projects as needed.

  • Experience with nonprofit financial reporting.
  • Proficient with Excel and Power Point.

Preferred Qualifications

  • Prior supervisory experience.

Physical Requirements

  • The position functions in a normal office environment that requires the ability to successfully interface with standard office equipment such as computers, printers, copiers, fax, phones, etc.
  • Sitting, standing, walking, and occasionally climbing stairs are typical activities in this role.
  • The ability to lift up to 15 lbs is required in this position.

Service Attendant

Position Status: Part Time / Non-Exempt / Hourly

Supervisor:  Cynthia Miller

Position Schedule: Available to work the weekly desk schedule; days and hours vary, but not exceed 28 hrs/wk

Position Summary: Greet people as they enter the facilities, address questions that are directed to you via phone calls or walk-ins.

Responsibilities

  • Proactively obtain necessary information to respond to requests or perform other duties
  • Knowledge of the ACAC ministries and community partners
  • Working knowledge of ACAC programs and ability to retrieve needed information
  • Follow set procedures as outlined in the service attendant’s binder
  • Respond accordingly to emergency needs
  • Working knowledge of copier, postage and fax machines
  • Oversee ACAC and Union Place lobbies. Maintain a level of appropriate atmosphere and security
  • Communicate information to the proper people
  • Check and respond to emails throughout your shift
  • Assist ministries with projects and needs as assigned
  • Maintain a clean and organized work space

Custodian

Position Status: Non-exempt, Hourly, Part-time

Reports to: Facilities Manager

Position Schedule: 10-15 hours/week. 2 nights from 7-11PM and Sunday from 2-6PM.

Position Summary: Facilitate the highest standard of cleaning within all of ACAC. Ensure the rooms are ready for ministry events.

Responsibilities

  • Clean ACAC campus according to the daily scheduled cleaning sheets.
  • Keep cleaning sheet with you on your shift, sign off on areas you have cleaned, and turn in at end of shift.
  • Responsible for room set ups, clean-up and tear downs following meetings and events.
  • Maintain and keep in working order all equipment needed to perform your duties and materials in a clean and orderly manner.
  • Knowledge of proper cleaning techniques, safe operation of equipment and machinery, and safety when using chemical and agents.
  • Responsible for laundry (rags, mops heads, etc.) as needed.
  • Report any repairs or maintenance needs on the daily sheets or to the Support Coordinator in a timely basis.
  • Perform any minor repairs that are seen according to your ability.
  • Respond to any emergency needs of the church: custodial, maintenance, medical, security, etc.
  • Security: Assist with keeping the campus safe.
  • Assist with snow removal.
